CAPABLE CASE STUDY

Capable, a trailblazing non-profit in Uganda, is reshaping economic empowerment by merging day-to-day operations with impact reporting. Their bold ambition: to sustainably elevate farming families out of extreme poverty as measured by the World Bank. Faced with the challenge of making data collection seamless for their field teams, they turned to us, desperate to reduce operational friction and free up their staff to focus more on achieving their mission.

Capable, a pioneering non-profit working in Uganda, pushes the line forward in the economic development space. Their integrated approach links the operational day-to-day programs and impact reporting, infusing impactful outcomes into their very operational model. They interact daily with clients, sharing the same success metrics and openly challenging all stakeholders to achieve the transparent, stated goal. Instead of treating funding and marketing reports as separate initiatives, Capable rallies the teams and groups around the same numbers to reflect an organization-wide holistic view.

Grounded in this vision, Capable has audaciously set the objective of elevating their clients out of extreme poverty, as defined by the World Bank at $1.90 per day. This is far beyond the typical ‘raise the floor’ approach so common in the sector. Uniting their innovative intent with meticulously integrated field data operations, Capable stands as a testament to what a scaling organization can achieve when it aligns ground up operational systems with the ultimate goal.

PROGRAM STRUCTURE

Capable’s strategy is anchored by tightly knit cooperatives, each encompassing 30 farming families. These cooperatives assemble weekly to participate in diverse activities that span from training on the hygiene of pit latrines to balancing Loan Associations (VSLAs) books. For two years, Capable teams journey alongside these groups, dedicating one day each week to facilitate these engagements with the five groups under their wing. This high-touch, accountability approach is quite rare in the international development space. Many organizations less than once a month with groups they form. Each Capable team has a two-fold goal: empowering individual group members to overcome poverty and nurturing the cooperative’s resilience to operate independently long term.

Before initiating their transformation journey, Capable’s on-ground team faced a dual workload. They would manually collect data from the field using paper forms, which would then be entered into Salesforce back at the office. This extra step led  to inefficiencies, mistakes, and redundancies. Understanding the critical importance of precise and timely data in their mission, Capable sought to overhaul this system.

Operating in remote areas with intermittent internet connectivity, their field teams needed a system that could not only function offline, but also synchronize data smoothly once within WiFi range. They sought to enhance the reliability and accuracy of their data, and in turn, strengthen the very foundation of their strategic decision-making processes.

Intent on providing field teams valuable support from a system that makes their job easier, not more difficult. Our partnership provided space for the team to focus on the work of achieving outstanding results. We worked hand-in-hand with the Capable Monitoring and Evaluation team to facilitate active field team engagement as we defined the project requirements. We needed their consistent input as their daily operations were so unique.

CHALLENGES

The key organizational goals refined into these key solution components:

  • Decrease staff office activities so they can spend more time in field supporting clients
  • Perform offline data collection
  • Combine that data collection with clear operational process support so data collection naturally occurs in performing program activities.
  • Synchronize data seamlessly once within WiFi range
  • Enhance the reliability and accuracy of data by removing additional steps
  • Strengthen clarity of weekly and monthly reports to further integrate success metrics into daily staff decision

Additionally, Capable wanted to improve their reporting capabilities to effectively inform their stakeholders and supporters of their impact. They needed a system that facilitated more regular updates from the field to validate their approach and result in their mission to eradicate poverty.

The task before us was clear – to transform Capable’s data collection into a supportive mechanism to aide daily operations and sync data into outcome reports for weekly decision making.

OUR ReCOMMENDED SOLUTION

We partnered with Capable to review their needs and provide a simple solution that would address their pain points and recommended the implementation of TaroWorks for offline mobile data collection alongside their Salesforce system, a powerful combination that would increase their operational efficiency and data accuracy.

Our approach involved understanding their existing data collection process, identifying the areas of inefficiency, and designing a solution that was adaptive, efficient, and easy to use.

IMPLEMENtATION PROCESS

DISCOVERY PHASE

We worked collaboratively with Capable to understand their objectives and the challenges they faced with data collection

PROCESS MIGRATION

Next, we migrated the existing paper-based data collection into their new Taroworks application team by team.

DELIVERY

Through a series of sprints, we worked iteratively with continuous user feedback to deliver incremental improvements to the first launch of mobile application.

TRAINING

We conducted several training sessions with the client teams to ensure they were equipped to use the new system effectively

IMPACT & REsULTS

Our partnership with Capable has transformed their data collection and analysis, elevating their impact on eradicating poverty in Uganda. With the help of TaroWorks as the field layer to their Salesforce Service Cloud, Capable became more efficient in their on-ground operations and more effective at reporting their outcomes without burning their team out with hours of office data entry.

The team reports moving from 10+ hours of in office data entry to less than 3 hours of data entry total, and the majority of that is simply reviewing numbers synced from their tablets.

    Ultimately, improved data collection is only one aspect of Capable’s unwavering commitment to deliver unprecedented results and value to their clients. We feel privileged to have played such a pivotal role in helping them prepare their program team for scale. Capable’s next cohort will again double in size to 3,000 families and 15,000+ individuals, bringing their total farming community well above 25,000 people.
